Business Support Manager - Torquay - Devon

£25K plus PRP (£2K), 33 days holiday - Secretarial, PA and Administration

As our Business Support Manager you will be the glue that sticks all the different departments of our business together. It will be your job to make sure the business runs smoothly by running and controlling all the office and administration procedures for both yours and the other departments, ensuring excellent internal working practices, and enhancing the service and experience we offer to our valued customers.

We’re a financially strong small business that has been operating in Torbay for over 20 years. You’ll be working with a great bunch of people (17 in total) and you will adopt an active role within the management team in order to drive the company forward. It’s a real job with real prospects and the expectation that you will progress with the business. We are looking for somebody with enormous drive and enthusiasm with a willingness to muck in and get the job done!

The Role

  • Oversee and manage the day to day admin function for the business to ensure efficiency, effectiveness and the proper management of resources and delivery of services to customers.
  • Develop and administer financial systems and effective internal controls including tracking, record keeping and reporting.
  • People Management/HR – supervise and manage the office team. Support other managers in conducting performance reviews and appraisals with their direct reports. Manage recruitment, training and development of direct reports.
  • GDPR - take on the role of Data Protection Officer.
  • Support the Technical team – purchasing equipment, fleet administration, and act as a point of contact for requests and enquiries.
  • To work with our external professionals - Accountant/Business Mentor, HR Consultant, Marketing Agency – attend meetings to discuss targets, updates etc.
  • Assist Directors’ with ad-hoc projects; contribute to team and process development.
  • To ensure social media platforms are updated on a regular basis, create and develop promotional content for the website; and taking directives from our internal and external specialists to ensure that projects are executed correctly and effectively.
  • Create a buzz in the office – a can do attitude – make coming to work fun!

Applicant Profile

  • Has sufficient experience to be able to take control of the workload and drive the business forward.
  • Has the people skills to understand the dynamics involved with our team, suppliers and customers and communicate accordingly.
  • A team player who will promote a great cohesive team ethos.
  • Has the ability to multi-task and prioritise as well as the flexibility to move between routine tasks and more complex development projects is essential.
  • Stress tolerance - maintains effective performance under pressure.
  • Organised and systems-driven.
  • Ambition to progress.

Essential skills, knowledge and experience

  • Experience of leading office based administrative services, including management of a small team.
  • Excellent communication skills, written and oral and an excellent telephone manner.
  • First class customer service and relationship building skills.
  • Excellent organisation, administration and time management skills.
  • Highly numerate and literate.
  • Attention to detail and a high level of accuracy.
  • Excellent IT skills - word-processing, using databases, spreadsheets, the Internet & email.

Salary £25,000 plus additional quarterly bonus (Est. up to £2,000 per year). 33 days holiday inclusive. The standard hours of work will be will be 40 per week to include 1 Saturday morning in 4.
